How the changes to Adobe’s site license procedure affects FY2016

Well, summer is almost here. Congratulations on making it through another year! I know that most schools have used up their budgets for FY15, so I figured it would be a good idea to mention how the new changes in Adobe’s site licensing program will affect the FY16 budgetary process.

Remember the Creative Suite site licenses? You could buy a 250 or 500 seat of Design Standard, Design & Web, or Master collection. You would buy it, and own it. Not so much anymore.

Adobe has gone to a subscription based system that will now license the entire school (regardless of how many computers you have). They are calling it the Educational Enterprise Agreement, or EEA for short. With EEA, the full Creative Cloud is installed on all devices across campus. The cost for EEA is determined by your FTE count.

(Full-time faculty) + (Part-time faculty ÷ 3) + (Full time staff) + (Part time staff ÷ 2) = FTE #

  • If your FTE is 20-69, your price point is $70 (x) your FTE number.
  • If your FTE is 70 or higher, your price point is $40 (x) your FTE number.

If my FTE is 82, I would pay 82×40= $3,280 per year to have all the computers in the school licensed with the latest Adobe software.

As you can see, the price is lower than a typical CS6 site license and you can rest easy knowing that all the software is up to date. Furthermore, you have the option to lock that price in for two years—regardless of if your FTE changes!

For some this is a good change. They can have the most up to date software, lock the price in for two years, and not worry about device limitations.

For others…this is not a welcome change–and I understand that. Some schools will have a difficult time finding the funding every year. Regardless of your situation, I would love the opportunity to speak with you about your school’s potential for EEA school wide licensing. You can find more info on our website, here.

Adobe’s Document Cloud for Education

Great news for those of you who are already subscribed to Adobe’s EEA program–Acrobat has been upgraded to Acrobat Pro Document Cloud for Education. In my previous post I outlined the new features of the Acrobat Pro DC perpetual license. The Document Cloud for Education is, in essence, the same program. However, it is an annual subscription and includes several features that the Acrobat Pro DC does not have.

For a quick video introduction, click here.

Adobe Document Cloud combines a completely re-imagined Adobe Acrobat with the power of e-signatures. Now you can edit, sign, send, and track documents wherever you are across desktops, mobile, and web.  All from Adobe, the company that invented PDF.

Adobe Acrobat Document Cloud bridges the gaps in existing paper and digital document processes through tools in Adobe Acrobat DC and online services within the Document Cloud for Creation, Editing and Reuse of documents and content. It enables real-time, simple e-signatures and approvals of documents, and provides visibility and transparency through real-time document tracking and management. Documents can be protected, managed, and monitored, even outside the firewall.

With its intuitive touch-enabled interface, Adobe Acrobat Document Cloud delivers powerful new functionality to get work done anywhere. The new Tool Center offers simplified and quick access to the tools you use most. And, Acrobat DC uses Photoshop imaging magic to convert any paper document into a digital, editable file that can be sent for signature.

Access your work as you move between desktop and devices, and pick up that form or document where you left off with new Mobile Link your files, settings and signatures stay with you. With two new mobile apps, Acrobat mobile and Fill & Sign, people can create, edit, comment and sign documents directly on their mobile devices. Plus, use the camera on your device as a portable scanner to easily convert any paper documents to digital, editable files that can be sent for signature.

New Release: Acrobat Pro DC

Adobe just released new versions of Acrobat: Acrobat Pro DC. At the end of this post I will go over which features I found to be most useful in this new version. If you want to skip all the tech specs, just scroll down to the bottom of this page!

For a quick video introduction, click here.

Acrobat Pro DC is a perpetual license. Just like the previous version of Acrobat, once you pay for it–you own it. Take a look below to familiarize yourself with the new features Adobe has added to Acrobat Pro DC…

With its intuitive touch-enabled interface, delivers powerful new functionality to get work done anywhere.

Adobe Acrobat Pro DC Includes:

  • Acrobat Pro DC desktop software
  • New Acrobat mobile app (iOS, Android)
  • Free Document Cloud services, enabling users to work from anywhere: Fill & Sign, Mobile Link, and Online Storage
  • Virtualization Support and Deployment Tools

Adobe Acrobat Pro DC Features:

  • Create and export PDFs from desktop
  • Directly edit text and images with auto-reflow
  • Enhanced bullet and numbered lists editing
  • Enhance scans and document images
  • Seamlessly access files across devices with Mobile Link (requires sign-in)
  • Re-imagined user interface & tools to take advantage of touch enabled hardware
  • Convert Paper to Editable PDF
  • Create accessible PDFs
  • Prepress & Production Features
  • Protect PDFs
  • E-sign documents
  • Auto-fill forms
  • Standardize PDF tasks with Actions
  • Permanently redact information and sanitize PDFs
  • Create PDF Portfolios
  • Create ISO-compliant PDFs

What I like most:

Fill & Sign is the most generally interesting part of the system, in part because it’s useful without requiring a subscription!! With this app, available on Android and iOS, you can take a picture of a print form or open existing PDF forms.

Acrobat DC for the iPhone and Android is a scaled-down version of the desktop apps, and lets you access capabilities depending upon your subscription level. Upgrade features include creating PDFs from other document types. It sends it up to the cloud for processing, saves it there, and notifies you when its done. You can also edit PDFs — rearrange pages, edit text, move or delete blocks. Very handy for on-the-go.
